Client Care Coordinator

Essential Functions:

  • Assists Staffing Coordinators with scheduling of caregivers, daily, utilizing ClearCare software
  • Assures staff adherence to the policies and procedures of the company and implements corrective actions when necessary
  • Assists with administrative functions of the office including records maintenance / personnel files, adherence to required employment practices, data collection and analysis, makes recommendations for continuous improvements and operational efficiencies
  • Manages and Assists in conducting applicant phone screening and interviews (both locations)
  • Manages and conducts caregiver orientations (both locations)
  • Ensures compliance with all license required updates from the state (DHS)
  • Assists with semi-annual internal audits of client and employee files to ensure accuracy and full compliance with all policies and procedures and licensing requirements
  • Attends the quarterly Quality Improvement meetings and monthly Safety Committee meetings
  • Assists with topics of relevant mini-articles for quarterly Employee Newsletters
  • Provides ongoing review and analysis of Agency service lines, service fees and client base; assists other administrative staff with new client service inquiries and assesses areas for improvement
  • Manages and conducts all client assessments 
  • Provides Agency Director/Administrator with ideas and data which outline new service opportunities, sales potential and public relations opportunities for the Agency
  • Assists with Supervisory Visits in keeping caregiver retention and engagement (feedback, etc.)

Additional Responsibilities:

  • Answers telephone promptly, and assists all callers with professionalism and courtesy while providing extraordinary customer service
  • Demonstrates commitment to the Purpose and Service Values of the Agency, empowerment of our caregivers, understanding and compassion for our clients and respect for all coworkers
  • Attends all office meetings as required and participates in office projects and initiatives as requested
  • Protects all company records and property and adheres to HIPAA guidelines that protect Agency and client confidentiality
  • Maintains updated process documents that detail the job duties described herein
  • Shares the on-call hours with the Staffing Coordinators
  • Participates in educational opportunities in health care, management/leadership skills and sales
  • May be required to travel on company business or to attend training's, conferences, job fairs, etc.
  • Other duties as assigned by the Agency Administrator or Managing Director

Education, Experience, Knowledge, Skills, Abilities and Availability:

  • The Client Care Coordinator of the company shall be an individual who has management training and experience and at least two (2) years of successful supervisory or administrative experience in the field of healthcare OR at least three (3) years of experience in business office management that includes Human Resource responsibilities
  • Shall be available at all times during the hours of operation of the office for emergencies or situations where managerial decisions are needed
  • Have experience utilizing ClearCare software
  • Must be creative, self-motivated, and have a pleasant, helpful and calm disposition
  • Must possess effective written and verbal communication skills, problem solving skills, and apply good judgment based on the principles of sound management
  • Must be sociable, energetic and comfortable representing the Agency in group / public settings and company meetings
  • Must read, write, speak, and understand English as needed for the job
  • Must have a valid driver’s license and use of an insured automobile

Working Conditions/Environment:

The Client Care Coordinator works in the company Administrative offices in the Beaverton and Portland, OR office.  The position is full-time: Monday through Friday 7:30am to 4pm with on-call hours
