Customer Care Specialist (Morgantown)

Performs various activities related to the maintenance of associate and office records for company business. Ensures that all referrals are received in an accurate, detailed manner and are properly handled. Performs various supervisory activities for scheduling appropriate caregivers to clients, timecard processing, scheduling functions, hiring responsibilities, payroll responsibilities as needed, other office coordination duties, monitoring of telephony and other systems to ensure smooth, efficient, and cost effective operation of Right at Home office.

  • Answers telephone, takes inquiries or messages using good telephone technique.
  • Greets and assists everyone who comes into the office in a professional and courteous manner.
  • Receives referrals and inquiries on the programs of this company.
  • Schedules and coordinates day to day activities of caregivers. Interviews, screens and tests all applicants.
  • Assists with recruiting, associate hiring, orientations, in-services, disciplinary actions, etc. Sets appointments for new applicants, and explains the initial application process.
  • Assists with recruiting; i.e. tracking incoming calls, number of applicants, and new hires.
  • Assists Staffing Coordinator’s with checking associate work references.
  • Photocopies all appropriate identification of new associates. Verifies valid licenses and certifications with appropriate licensing body.
  • Prepares new hire packets, new client homecare record books, and client information packets. Performs payroll duties including verifying time sheets, updating telephony records, and computer input for payroll processing.
  • Mails weekly invoices to clients. Distributes payroll checks to associates.
  • Keeps office supply inventory and orders supplies as needed Data entry into ClearCare of all new clients, prospective clients, associates and vendors.
  • Handles incoming/outgoing mail.
  • Maintains documentation of associate work record in Clear Care and ensures current and complete personnel records for all homecare associates.
  • Communicates continually with associates and clients to evaluate service.
  • Responds promptly and courteously to all clients’ calls.
  • Performs on-call coordinator duties as needed. Serves as liaison between associates and Office Manager, Operations Manager, and or Franchisee.
  • Assists with sales, marketing, and public relations efforts.
